Law Firm Automation Architect | LLMs, Clio, Gavel & Make Workflows

I build attorney-controlled automation systems for law firms that cover day-to-day legal operations, document automation, and legal marketing automation. My work connects client intake, conflict checks, matter creation, payments, document generation, approvals, client communication, content production, and matter closure into one controlled operating system. 1) Legal Operations I design end-to-end workflows for: • Client intake and qualification • Conflict checks and attorney approval • Clio Manage and Clio Grow matter creation • Engagement letters and electronic signatures • Dynamic Stripe payment links • Evidence and document collection • Gmail-based attorney approvals • Calendar, filing, and court-date notifications • Matter updates, document storage, and closure • CRM automation, routing, dashboards, and error handling For a New Jersey landlord-tenant law firm, I connected Gavel, Clio Manage, Make , Stripe, Gmail, and Google Calendar across paid consultations, residential lease drafting, and non-payment eviction matters. The system handled conflict clearance, matter creation, retainers, payments, evidence collection, document generation, court notifications, and matter closure. Residential lease production was reduced from approximately 2 to 3 hours of attorney and administrative work to 1 to 2 minutes of attorney review. 2) Legal document automation I build advanced document automation systems that go beyond inserting names into templates. My work includes: • Complex Gavel workflow architecture • Conditional legal drafting • Reusable people and entity records • Ranked fiduciary and successor logic • Co-serving and acting-mode provisions • Beneficiary and residuary distribution logic • Clean Microsoft Word template variables • Multi-document package generation • Scenario testing and quality-control outputs For a Pennsylvania estate-planning practice, I built a people-first Gavel drafting system covering trusts, wills, pour-over wills, financial powers of attorney, healthcare powers of attorney, and living wills. The system resolves trustees, executors, agents, guardians, successor ranks, beneficiaries, and distribution clauses before the documents are generated. One structured intake now powers six coordinated legal instruments, reducing preparation from approximately 4 to 5 hours to 15 minutes. 3) AI and marketing automation for law firms I also build controlled marketing systems for firms that need consistent content without manually coordinating research, drafting, design, approvals, and publishing. These systems can include: • AI-assisted legal content generation • Automated news and topic research • Bilingual content workflows • Branded image generation • AI attorney video production • Editorial calendar automation • Gmail approval controls • WordPress and GoHighLevel integration • Facebook, Instagram, LinkedIn, and Google Business Profile publishing • Lead magnets, funnels, forms, and CRM follow-up For a Texas immigration law firm, I built an AI-powered content operating system that combined planned content, automated immigration news discovery, bilingual drafting, approved attorney assets, AI video, human review, and multi-platform publishing. Three different input channels were connected to one governed production engine, while the attorney retained control over approval and publication. How I approach legal automation: I do not begin by connecting apps. I begin by mapping the operation: • How does the client enter the firm? • When is representation formed? • Where must attorney judgment remain? • What information should be entered only once? • What happens when a conflict is identified? • What happens when the client does not pay? • What triggers drafting, approval, filing, notification, or closure? • How should the system respond when something fails? I then translate those requirements into a structured, maintainable workflow. My core principles: 1) Attorney control Important legal, ethical, and representation decisions remain with the attorney. 2) Data integrity Information is structured once and reused across matters, documents, payments, and communications. 3) Failure handling Rejected conflicts, incomplete payments, missing documents, malformed AI responses, API errors, and delayed processes receive deliberate routes. 4) Usability Attorneys should not need to operate the automation platform. The system should bring the decision to them. 5) Maintainability Workflows should remain understandable, testable, and adaptable as the firm grows. Core technology stack: Clio Manage, Clio Grow, Gavel, Make, Zapier, n8n, OpenAI, Claude, Stripe, DocuSign, Gmail, Google Workspace, Microsoft 365, WordPress, GoHighLevel, HeyGen, SerpAPI, REST APIs, webhooks, JSON, and structured data systems.
