📩 A customer sends an inquiry, 🤝 accepts your proposal, 💳 or pays for your service. ➡️ Does the next step happen clearly, 🏃 or do you have to chase it? ⚠️ Is the right information recorded? ⚠️ Does the right person get notified? ⚠️ Does someone own the next action? ⚠️ Does the customer receive clear instructions? If the answer depends on you checking, reminding, or remembering, that’s where I can help. I’m Rica, a Customer Journey Systems Consultant and founder of Repeat Ready. I help founder-led service businesses find and fix broken handoffs across the customer journey, then design and build the connected systems behind them. I connect what your customers experience with what your business needs to do next. 🧩 WHERE THE JOURNEY GETS STUCK Your website, calendar, CRM, and workflows may work individually. The connection between them can still be unclear. An inquiry arrives, but nobody owns the response. A call is booked, but the record or reminders don’t update. A proposal is sent, but the decision and next action aren’t tracked. A customer pays, but onboarding instructions don’t arrive. Delivery begins, but the person doing the work is missing key information. So the founder becomes the human operating system, manually pushing the journey forward. I look at both sides: • What the customer sees, receives, and does • What the business records, communicates, assigns, and completes The review may cover inquiry, qualification, booking, sales, onboarding, delivery handoffs, retention, reviews, and referrals. We agree on the journey and relevant branches being assessed. 🔎 DIAGNOSE BEFORE BUILDING I investigate through interviews, existing documents, relevant systems, and sample records. The questions are practical: • What should happen? • What is happening instead? • Where does information or action get lost? • Who owns the next step? • What evidence would confirm that it works? Sometimes the fix is a workflow. Sometimes it’s a missing field, an unclear responsibility, or a step that needs to be redesigned before automation makes sense. ⚙️ HOW WE WORK TOGETHER We start with a discovery call to understand the problem and confirm fit. If the cause or scope is unclear, I recommend a paid System Diagnostic. It gives you: ✅ A customer journey map and supporting notes ✅ Findings with evidence, assumptions, and gaps distinguished ✅ Priorities and a recommended first fix ✅ A proposed implementation scope The diagnostic has standalone value. You can use the recommendations with your team or engage me for a separately scoped build. If the problem is already clear enough to scope responsibly, I recommend a fixed implementation project. 🛠️ WHAT THE BUILD MAY INCLUDE Depending on the handoff being solved: • Websites, funnels, and lead capture • Forms, calendars, and booking flows • CRM pipelines, routing, and ownership • Sales communication and re-engagement workflows • Client onboarding and delivery handoffs • Notifications and lifecycle automation • Necessary connections between tools I primarily implement in GoHighLevel. The process and requirements determine which components are needed. Each project has an agreed scope, responsibilities, acceptance criteria, and handover point. ✅ HOW I CHECK THE SYSTEM I define the expected behaviour before testing the agreed customer and internal paths. That includes checking whether information reaches the correct record, messages are triggered appropriately, the next owner is notified, and relevant exceptions are handled. Before handover, I document the system logic, responsibilities, test findings, and known limits so the system doesn’t live only in my head. My delivery process: Discover → Map → Build → Connect → Test → Document → Handover 📚 THE EXPERIENCE BEHIND MY APPROACH My background spans accounting, operational audit, agency delivery, property operations, and CRM workflows. I’ve reconciled records, checked actual workflows against SOPs, coordinated client and team handoffs, and built processes for enrollment, check-in, order fulfillment, and onboarding. That experience shapes how I work today: understand the expected process, inspect what actually happens, identify the gap, and build a practical way to carry the next step. 🤝 A STRONG FIT You have: • A defined service and real leads or paying clients • A handoff that is missed, delayed, unclear, or dependent on memory • Willingness to provide access, information, decisions, and testing participation • A need for a scoped systems project with documentation and handover My work focuses on diagnosis and systems implementation. It doesn’t include daily VA or operations coverage, unlimited support, or extensive custom development. Systems can support your business, but they cannot create demand on their own. 📌 START HERE Explore selected work through the portfolio in Featured. Have a next step you keep chasing? Messa
