Renato H.
Head of Operations / Chief of Staff | Systems, Automation & Execution
I run operations and get things done. My title is Operations Manager. In practice, I operate as the de facto COO of a 30-person AI startup, turning founder priorities into systems, ownership and execution. I have implemented EOS across the company, built internal software, reduced operating costs, rebuilt broken payroll and HR processes, hired teams, recovered company assets, and created accountability around work that previously relied on people remembering what needed to happen. Based in Europe (EET) with full US East Coast overlap. 🛠️ What I have actually achieved 1. Implemented EOS company-wide, including accountability charts, departmental scorecards, project boards, KPIs, leadership meeting cadence and clear ownership across functions. 2. Built an internal SLA monitoring platform using React, Supabase and the Meta API, with AI filtering to monitor account manager response times against contractual SLAs across 500+ client channels. 3. Audited company spend and financial operations, removed more than $30,000/year in unnecessary SaaS costs, and rebuilt the payroll tracking and approval process after finding broken approval chains and payment issues. 4. Hired 10+ people in two months from 30+ interviews, ran departmental 1-on-1s, handled terminations, improved onboarding and drafted standardized contractor and employment documentation. 5. Audited the company's Meta asset infrastructure and found 100+ client assets dependent on personal employee access instead of company-controlled ownership. Migrated the portfolio into company-controlled access and fixed the processes that had created the risk. 6. Built operating systems around founder priorities, turning ideas and problems into owners, KPIs, SOPs, projects, automations and follow-through across departments. 💻 How I work 1. I build instead of adding unnecessary complexity. I have cut automation workflows from 30 steps to 6 and regularly use APIs, scripts, AI and internal tools to remove repetitive work. 2. I turn founder vision into execution. A conversation becomes an Asana project, KPI, SOP, workflow, dashboard or process with a clear owner and expected result. 3. I am comfortable going technical when operations requires it. I work with APIs, databases, Git, Docker, cloud deployments and AI coding agents rather than relying entirely on developers for internal tooling. 4. I look for where processes break and fix the cause, not just the obvious problem. Payroll, onboarding, access, client handoffs and reporting should have clear owners and not rely on someone remembering what to do. 5. I document and hand off what I build, my goal is not to make myself indispensable but to make the operation work without constant intervention. 6. I am comfortable working across departments: Finance, HR, account management, sales, fulfillment, engineering and leadership problems often overlap, so I focus on the company-level outcome rather than staying inside one function. ⚙️ What I do Execution: EOS, accountability charts, KPIs, leadership cadence, cross-functional work, process design Finance: Cost audits, SaaS reduction, payroll controls, contractor settlements, approval workflows People: Hiring, onboarding, 1-on-1s, performance management, terminations, contracts, offboarding Build: Internal tools, APIs, Zapier/n8n, CRM workflows, Google Workspace scripts, dashboards Client & Risk: Meta asset audits, access control, SLA tracking, handoffs, disputes and chargebacks 🧰 Systems & tools Planning: Notion, Asana, ClickUp, Monday, Miro, Google Workspace Data: Google Sheets, Apps Script, Supabase, PostgreSQL, Python Engineering: React, Next.js, Git, GitHub, Docker, Netlify, Vercel, Cloudflare AI: Claude, Claude Code, ChatGPT, Codex, OpenRouter, Qwen, Ollama, Hermes Finance: QuickBooks, Zoho Books, Xero, Gusto GTM: Meta Business Suite, Shopify, Stripe, GoHighLevel, Close CRM, WordPress, SEO 🫱🏻🫲🏻 Who I work well with ➔ Seed and Series A founders who need a right hand to turn founder-led firefighting into systems and accountability. ➔ Growing companies where ownership, reporting, processes and systems have not kept up with growth. ➔ Agencies and service businesses that need onboarding, client operations, SLA tracking, financial controls and asset security tightened up. ➔ Technical and AI startups that want an operator who can read API documentation, work with developers and build internal infrastructure when needed. ➔ Founders who want leverage, not another person they need to constantly manage. Give me the operational problem everyone has been avoiding and I will figure out what is actually broken, fix it, document it and make sure somebody owns it.
