Muhammad Ahmad S.
Operations Manager | VA and Jack of all Trades
I build operational systems for online businesses so founders can stop doing everything themselves. I'm currently Director of Product at a US-based online fitness coaching company, where I was promoted from Operations Assistant within six months. I came into a business with no SOPs, inconsistent onboarding, and coaches all doing things differently. I built the entire operational backend from scratch: structured onboarding flows, coach hiring and training pipelines, client program delivery, retention workflows, and community operations. The most recent system I built uses AI to extract structured client profiles from onboarding call recordings and generate personalized coaching programs from a template library I designed. Coaches went from spending 30-45 minutes manually building each program to just reviewing and adjusting. That one system alone saved the company over $1,500/month. I also manage operations for a San Francisco coworking space, handling their events pipeline, membership communications, vendor coordination, and weekly publication. What I'm best at: taking a messy, growing business and turning it into something that runs on clean systems instead of the founder's memory. Tools I use daily: Claude AI, Claude Code, ChatGPT, GoHighLevel, Everfit, Skool, Google Suite, Slack, Zapier, Fathom, Canva, Substack, Notion. NYU Economics, Class of 2021.
