Airtable Architect | CRM, Operations Systems & Automation | Softr
I design and build Airtable systems that turn complex business processes into structured, automated workflows. Your Airtable base shouldn't just store information. It should help your business run. If your team is constantly updating spreadsheets, chasing follow-ups, moving information between tools, fixing broken automations, or wondering which record is actually up to date, the problem usually isn't Airtable itself. It's the system design behind it. I help coaches, consultants, service businesses, and growing teams turn messy processes into structured Airtable systems that centralize operations, eliminate manual work, and give teams a clear next step. I don't approach Airtable as a database-building exercise. I look at: → What triggers the workflow? → Where does the information go? → Who owns the next step? → What should happen automatically? → Where can things fall through the cracks? → What does management need to see? Then I architect the database, interfaces, automations, and integrations around those answers. The result isn't simply a cleaner Airtable base. It's an operating system your team can actually run on. I've built systems delivering 70% less event administration, 85% faster candidate screening, 80% less manual tracking, and CRM implementations delivered in under a week. WHAT I BUILD CRM & Revenue Systems ▪︎ Lead capture & qualification ▪︎ Sales pipelines & deal tracking ▪︎ Follow-up automation ▪︎ Client onboarding ▪︎ CRM dashboards Operations Systems ▪︎ Inventory & stock movement ▪︎ Field team workflows ▪︎ Job & order management ▪︎ Scheduling & assignment ▪︎ Approvals & exception handling ▪︎ Operational reporting Softr Portals & Dashboards ▪︎ Client & staff portals ▪︎ Parent/player portals ▪︎ Role-based dashboards ▪︎ Mobile-friendly workflows Automation & AI ▪︎ Workflow automation ▪︎ AI-powered data processing ▪︎ Lead qualification & screening ▪︎ Notifications & alerts ▪︎ API & webhook integrations TOOLS & INTEGRATIONS Airtable • Softr • Make • n8n • Zapier • OpenAI • Claude API • HubSpot • GoHighLevel • Apollo • Clay • Slack • Twilio • Stripe • Tally • Fillout • Google Workspace • Webhooks & APIs I use native Airtable automation where it makes sense, then bring in Make, n8n, Zapier, or APIs when the workflow requires more flexibility. SELECTED WORK ● Real Estate CRM & Deal Pipeline - Airtable Built a property acquisition CRM covering lead capture, deal stages (Prospect → LOI → Under Contract → Closed), automated seller follow-ups, document checklists, and portfolio reporting. Result: Faster deal progression and better stakeholder visibility. ● Multi-Location Operations System - Airtable Designed a centralized system connecting inventory, recipes, staff, and locations with automated alerts, approval workflows, mobile-first dashboards, and onboarding sequences. Result: More consistent operations, reduced waste, and live management visibility. ● Hockey Player Development System - Airtable + Softr Built player profiles, training logs, performance scoring, leaderboards, reporting, intake forms, and a Softr portal for parents and players. Result: A low-tech system coaches and families could use without technical training. ● AI Resume Screening - Airtable + n8n + OpenAI Built automated resume intake, structured candidate data, and AI scoring against live job descriptions. Result: Up to 85% reduction in screening time. ALREADY HAVE AN AIRTABLE BASE? I don't automatically recommend rebuilding it. I can audit your tables, relationships, formulas, interfaces, forms, automations, and workflows to identify what should stay, what needs fixing, and what should be rebuilt. You'll get a practical plan for what to keep, fix, automate, simplify, or rebuild before committing to a larger implementation. HOW I WORK 1. Map the process - Understand how work actually moves through the business. 2. Design the architecture - Structure tables, relationships, permissions, and workflow logic. 3. Build around users - Create simple interfaces for the people doing the work. 4. Automate intelligently - Eliminate repetitive work without overengineering. 5. Test & refine - Validate the system against real business scenarios. 6. Document & hand over - Leave your team with a system they can confidently operate. Whether you're starting from scratch or dealing with an Airtable system that has become difficult to maintain, I'll help you build something structured, scalable, and useful in day-to-day operations. Ready to replace your workarounds with a system that actually runs? Send me your current setup and biggest bottleneck. I'll break down what I'd prioritize, what I'd automate, and how I'd structure the system, no obligation, no fluff.
