Legal VA - Billing | Case Management | Document Control | CRM Admin
OVERVIEW I support law firms and legal teams remotely with billing, case file management, and administrative operations. With 10+ years of remote work experience — including direct support for a U.S.-based private investigations firm handling court-ordered cases — I understand how legal and court-related workflows operate and what it takes to keep cases moving without errors or delays. WHAT I DO FOR LEGAL TEAMS ✔ Invoice and billing management using QuickBooks Online ✔ Case file organization and document control ✔ Email monitoring and routing of time-sensitive legal correspondence ✔ Filing documents into case management systems (Clio, HubSpot, Salesforce, Connecteam) ✔ Tracking court deadlines, deposition notices, and motion filings ✔ Accounts receivable follow-up and billing dispute resolution ✔ Vendor invoice processing and expense tracking ✔ CRM data entry and pipeline management COURT SYSTEM & AOC EXPERTISE I have hands-on experience supporting court-ordered investigation workflows funded through the Administrative Office of the Courts (AOC). This includes: ✔ Managing the full AOC billing cycle — from court order receipt through invoicing and payment ✔ Tracking Purchase Order (P#) authorization requests and funding approvals ✔ Familiarity with ACAP (Attorney Client Assistance Program) case structures and documentation requirements ✔ Processing and filing Motions and Orders, including incremental funding requests ✔ Recognizing and routing critical court documents — Notice of Depositions (NOD), Case ✔Management Statements (CMS), Case Management Conferences (CMC), Settlement Agreement Releases (SAR), 998 Offers, and Three-Option Letters ✔ Understanding the difference between funded and unfunded case balances and managing billing accordingly ✔ Supporting the M/O (Motion/Order) drafting process and coordinating with attorneys and paralegals on approvals ✔ Maintaining audit-ready records aligned with AOC compliance and court-ordered funding requirements EXPERIENCE HIGHLIGHTS I have supported a U.S.-based private investigations firm managing court-ordered case workflows from intake to billing close-out. My responsibilities included end-to-end invoicing in QuickBooks Online, AOC purchase order tracking, document filing in Clio Manage, and routing time-sensitive court correspondence to the appropriate attorneys and paralegals. I also supported the build-out of a HubSpot CRM pipeline designed specifically around AOC case management and billing workflows — including automation for active investigation stages, incremental funding requests, and multi-track billing. Additionally, I bring experience across e-commerce, digital publishing, and book PR — supporting sales teams, managing CRM databases, running email campaigns, and leading data research teams — giving me a well-rounded remote work background that adapts to any legal office environment. TOOLS I USE Clio Manage · QuickBooks Online · HubSpot CRM · Salesforce · Microsoft Office · Google Workspace · MailChimp · Agile CRM WHY WORK WITH ME I treat every case file and client communication with the same care your in-house staff would — because in legal work, one missed notice or misfiled document can cost your client. I work independently, ask when something is unclear, and always double-check before acting. I bring familiarity with U.S. court terminology, AOC funding structures, and the administrative demands of court-appointed case management — skills that most general VAs simply don't have. Available: Full-time or part-time · Remote only Location: Cebu, Philippines (U.S. business hours flexible)
